Job Description

Qualtrax is looking for an energetic, creative and organized Sales Operations Administrator who’s excited to work for a growing technology company. The Sales Operations Specialist will be responsible for customer renewal contracts, data integrity of accounts within Salesforce (CRM), state and federal registrations, as well as Accounts Receivable management.  The position will also require assisting the Marketing, Sales and Business Development teams with various tasks, including event management.  The Sales Operations Specialist must have a passion for assisting others so everyone can achieve their goals.

Our ideal candidate will have superb communication and organizational skills, be highly detail oriented and have a passion for learning the ins and outs of not only our products and services, but also the extensive list of tools we use internally.  This position will require the demonstration of independent decision making and time management skills, with the ability to take ownership of projects and see the results of their efforts.


  • Manage monthly and annual renewal contracts
  • Desire to work with customers and help get them the information they need promptly in the sales process
  • Produce quotes and proposals to the sales team as needed
  • Responsible for invoicing all new business timely and managing open orders
  • Very comfortable being on the phone and demonstrates professional handling of customer and prospect situations
  • Takes ownership and pride in work to support the sales and marketing team to accomplish goals
  • Assist in RFP responses; responsible for gathering all requirements and meeting submission deadlines
  • Acquire, import and maintain the integrity of CRM data
  • Kick-off the customer onboarding process including processing purchase orders, scheduling internal handoff calls, and keeping track of completed services to prepare and send invoices through CRM
  • Ability to utilize Salesforce data to create sales reports
  • Provide regular reports provided to management on new business, open orders, recognized revenue by month, and customer retention metrics
  • Research and register on state and federal websites in order to do business with multiple entities
  • ​Management of special terms with customer agreements including reviewing terms and conditions on proposals and quotes and ensuring these get proper approval
  • ​Drive continuous improvement of all existing processes
  1. Minimum 3-5 years in a similar role
  2. B.S. Degree in Business, B.B.A, preferred
  3. Highly detailed oriented
  4. Understanding of Accounts Receivable processes
  5. Understanding of CRM, Salesforce, preferred
  6. Highly developed oral and written communication skills
  7. Able to work on a team or individually

    • Accepts and responds to feedback quickly and positively
